Update Stacks Search Results (Document Delivery)

The Update Stacks Search Results page for Document Delivery in the ILLiad Staff Web Client allows staff to process document delivery transactions after staff have searched for items in the library's physical collection. This page provides search functionality to locate specific transactions and update them with search results.

Overview

This processing page is located under Doc Del > Update Stacks Search Results and provides the same functionality as the desktop client's update stacks search process, with a streamlined web-based interface.

Page Structure

The Update Stacks Search Results page consists of three main areas:

  1. Search Controls (top of page)
  2. Search Results Tab
  3. Request Details Tab
  4. Processing Buttons (bottom of screen)

Searching for Transactions

The search controls at the top of the page allow you to locate transactions by:

  • Transaction Number (TN) - The unique ILLiad transaction identifier
  • ILL Number - The external request identifier
  • Citation Information - Bibliographic details (title, author, etc.)

Optional Filters

You can further refine your search using these filters:

  • Sent Only - Limit results to transactions that have been sent
  • In Stacks Searching Only - Limit results to transactions currently in stacks searching status

Working with Search Results

Search Results Tab

After performing a search, the Search Results tab displays all matching transactions. The results table shows key information about each transaction to help you identify the correct item.

Viewing Request Details

The system automatically displays request details in two scenarios:

  1. Single Result - When your search returns only one transaction, the Request Details tab automatically opens
  2. Double-Click - When you double-click any result in the Search Results tab

The Request Details tab shows complete information about the selected transaction, including:

  • Bibliographic information
  • Call number and location information
  • Current status
  • Transaction history
  • Notes and special instructions

Processing the Request

The buttons at the bottom of the screen allow you to process the transaction based on the stacks search results. The available options and behavior are the same as in the ILLiad desktop client.

Common processing actions include:

  • Mark Found - Indicate the item was located in the stacks
  • Mark Not Found - Indicate the item was not found during the search
  • Add Location - Update the transaction with specific location information
  • Route - Move the transaction to the next appropriate queue or status
  • Add Note - Attach staff notes about the search results

The specific buttons available depend on the current status of the transaction and your staff permissions.

Tips for Efficient Processing

  • Use the "In Stacks Searching Only" filter to focus on transactions awaiting search results
  • Record detailed notes about items that were not found to assist with future requests
  • Update location information when items are found in unexpected places
  • Use keyboard shortcuts when available for faster navigation
