Check In from Lending Library

The Check In from Lending Library page in the ILLiad Staff Web Client allows staff to process borrowing transactions when materials are received from lending institutions. This page provides search functionality to locate specific transactions and process them efficiently.

Overview

This processing page is located under Borrowing > Check In from Lending Library and provides the same functionality as the desktop client's check-in process, with a streamlined web-based interface.

Page Structure

The Check In from Lending Library page consists of three main areas:

  1. Search Controls (top of page)
  2. Search Results Tab
  3. Request Details Tab
  4. Processing Buttons (bottom of screen)

Searching for Transactions

The search controls at the top of the page allow you to locate transactions by:

  • Transaction Number (TN) - The unique ILLiad transaction identifier
  • ILL Number - The external request identifier
  • Citation Information - Bibliographic details (title, author, etc.)

Optional Filters

You can further refine your search using these filters:

  • Sent Only - Limit results to transactions that have been sent to lenders
  • In Stacks Searching Only - Limit results to transactions currently in stacks searching status

Working with Search Results

Search Results Tab

After performing a search, the Search Results tab displays all matching transactions. The results table shows key information about each transaction to help you identify the correct item.

Viewing Request Details

The system automatically displays request details in two scenarios:

  1. Single Result - When your search returns only one transaction, the Request Details tab automatically opens
  2. Double-Click - When you double-click any result in the Search Results tab

The Request Details tab shows complete information about the selected transaction, including:

  • Bibliographic information
  • Lending institution details
  • Current status
  • Transaction history
  • Notes and special instructions

Processing the Request

The buttons at the bottom of the screen allow you to process the transaction. The available options and behavior are the same as in the ILLiad desktop client.

Common processing actions include:

  • Check In - Record receipt of the item from the lending library
  • Mark Received - Update the transaction status
  • Route - Move the transaction to the next appropriate queue or status
  • Add Note - Attach staff notes or comments to the transaction

The specific buttons available depend on the current status of the transaction and your staff permissions.

Tips for Efficient Processing

  • Use keyboard shortcuts when available for faster navigation
  • Take advantage of the search filters to narrow results quickly
  • Review the Request Details tab before processing to ensure accuracy
  • Use the TN search when you know the exact transaction number for fastest results
