Check In from Lending Library
The Check In from Lending Library page in the ILLiad Staff Web Client allows staff to process borrowing transactions when materials are received from lending institutions. This page provides search functionality to locate specific transactions and process them efficiently.
Overview
This processing page can be accessed from the left-hand navigation under Borrowing > Check In from Lending Library and provides the same functionality as the desktop client's check-in process.
Page Structure
The Check In from Lending Library page consists of three main areas:
- Search Controls (top of page)
- Search by Transaction Number, ILL Number, or Citation Information
- Filter to search only requests in the Request Sent queue or all requests
- Results Grid
- Request Details Tab
- Processing Buttons (bottom of screen)
Searching for Transactions
The search controls at the top of the page allow you to locate transactions by:
- Transaction Number (TN) - The unique ILLiad transaction identifier
- ILL Number - The external request identifier
- Citation Information - Bibliographic details (title, author, etc.)
Working with Search Results
Search Results Tab
After performing a search, the Search Results tab displays all matching transactions. The results table shows key information about each transaction to help you identify the correct item.
Viewing Request Details
The system automatically displays request details in two scenarios:
- Multiple Results - When your search returns multiple transactions, results display in the grid on the Results tab. You can double-click one of the results to view more information on it in the Request Details tab
- Single Result - When your search returns only one transaction, the Request Details tab automatically opens
The Request Details tab shows complete information about the selected transaction, including:
- Bibliographic information
- Lending institution details
- Current status
- Transaction history
- Conditions and Billing
- Notes and special instructions
Processing the Request
Once you have located and opened a transaction in the Request Details tab, follow these steps to check in the item:
- Verify that the item matches the transaction information
- Verify that the lender selected is the correct lender symbol and address or search for the lender if no lender string
- Enter the Due Date and number of pieces
- Add any notes or special instructions as needed
- Click the appropriate processing button
The buttons at the bottom of the screen allow you to process the transaction. The available options and behavior are the same as in the ILLiad desktop client.
Common processing actions include:
- Check In - Record receipt of the item from the lending library
- Check In Scan Later - Mark the article as received and route it to Awaiting Borrowing Scanning status for scanning at a later time (article requests only)
- Partial/Incorrect - Mark the item as partial or incorrect and move it to the Received Partial/Incorrect Item status for later processing
- Cancel - Cancel the request if needed
The specific buttons available depend on the current status of the transaction and your staff permissions.
Once checked in, the paperwork will print in the order the transactions were processed. Continue to check items in until you have finished all of the items that need to be processed.
Using a Barcode Scanner
A barcode scanner can be used to quickly search for transactions by scanning the transaction number barcode. When a barcode is scanned in the Transaction Number field, the scanner will automatically input the number and trigger a search by simulating an Enter key press. If the search returns a single result, the Request Details tab will automatically open with the transaction information.
