Print Receives
The Print Receives page in the ILLiad Staff Web Client allows staff to print and process borrowing transactions that have been received from lending institutions. This is part of the Post-Receipt Processing workflow. Once items have been successfully checked in from the Lender, you can use this page to print labels to go with the items. The page displays a list of transactions in the appropriate status and provides controls for printing and routing.
Overview
This printing page can be accessed from the left-hand navigation under Borrowing > Print Receives and provides the same functionality as the desktop client's print receives process, with a web-based interface.
Page Structure
The Print Receives page displays:
- Filters for All, Articles, and Loan
- Transaction Grid - Shows all requests that are in the Awaiting Post Receipt Processing status that are ready for printing
- Refresh Button - Updates the list to show current transactions
- Print Button - Prints and routes the selected transactions
Transaction Grid
The transaction grid displays key information for each received item:
- Action
- Transaction Number
- Username
- Request Type
- Loan Author
- Loan Title
- etc.
The grid automatically includes all transactions in the relevant status that are ready for printing.
Using the Refresh Button
Click the Refresh button to update the transaction grid with the most current data. This is useful when:
- Multiple staff members are processing transactions simultaneously
- You want to see newly received items
- You need to verify that previously processed items have been removed from the grid
Using the Print Button
The Print button performs the following actions:
- Generates printable documents for the selected transactions (such as routing slips or pickup notices)
- Routes the transactions to the In Transit to Pickup Location status
- Updates the transaction history
Note: Requests for Mail to Address patrons skip the In Transit to Pickup Location status and move directly to Awaiting Customer Contact. Your institution may also have custom routing rules configured that affect this workflow.
If you want to edit the documents before printing, click Download to edit and then print. If no edits are required, just click Print. After editing and printing documents, close them without saving to preserve the original template.
Note: Word does not need to be installed on the machine to print unless you need to make edits to the print template.
This process works the same way it does in the desktop client.
Printing Labels
- From the Borrowing ribbon, in the Receive Requests group, click Print Receives.
- The received items will be moved to the print queue and the ILLiad Client will open the print documents associated with the Received From Lending Library print process.
- The documents associated with a particular ILLiad print process are set by the institution through the Customization Manager.
- The ILLiad Client will open each document based on the transactions to be printed. Thus, if no articles have been checked in, any designated article-specific documents will not open.
- Based on settings in the Print Configurations screen, the ILLiad Printer Settings popup window for the template will display before the document template and Word file are opened.
What Gets Printed
The Print button generates the following documents based on request type:
- Article Labels - BorrowingArticleLabels.doc
- Loan Labels - BorrowingLoanLabels.doc
- Loan Slips - BorrowingLoanSlips.doc
Workflow
Typical workflow for using Print Receives:
- Navigate to Borrowing > Print Receives
- Review the grid of transactions
- Click Refresh if needed to ensure you have the most current grid
- Click Print to generate documents and route transactions
- Retrieve printed materials and follow your institution's procedures for patron notification or delivery
Relationship to Desktop Client
This web-based page provides the same functionality as the desktop client's Print Receives feature. Staff can choose which interface to use based on their workflow preferences and access needs. The queue will reflect accordingly in each system.
